Complaints & Discipline

The following procedures should be followed in the event that any member(s) feel(s) they have suffered discrimination in way or that the Dads and Lads (D&L) policies or Code of Conduct have been broken.

In Brief

Complainants may report the matter in writing to the Club Secretary, Welfare Officer or another member of the management committee.

The report should include:

  1. Details of What, When & Were, the occurrence/event took place.
  2. Any Witness statement & names
  3. Names of any others who have been treated in a similar way
  4. Details of any former complaints made about the incident, date, when & to who made.
  5. A preference for a solution to the incident.

The committee will sit for any hearings that are requested. The Committee will have the power to:

  1. Warn as to future conduct,
  2. Suspend from the Club Dads and Lads (D&L)
  3. Remove from the Cub any person(s) found to have broken the D&L Codes of Conduct & or its Policies.(Equal Opportunities, Child Protection, Recruitment & Retention)

In Full

A complaint is an expression of dissatisfaction by one or more services users about the organisation’s action or lack of action or about the standard of a service – whether the action was taken or the service provided by the organisation itself or a person or body acting on behalf of the organisation.

This procedure covers complaints about running of D&L and any of activities it carries out, such as sport activities, workshop and other social events.

D&L take the views of those it serves seriously and needs to be aware when there is dissatisfaction in the services it delivers, including Football. The outcome of a complaint will assist D&L in reviewing and where necessary, changing the way services delivered

Complaints shall be dealt with by the management Committee, which meets once a month. The Committee shall report its conclusion directly to the complainant.

Making a Complainants

  1. Complainant(s) should make complaints in writing to the committee, This can be done by emailing to (dadsnlads@yahoo.co.uk)
  2. If the complaint relates to any of the D&L Associated Teams, the Secretary shall acknowledge its receipt within five working days and try resolve/settle the matter immediately. For other matters, a committee member will handle the same.
  3. The Secretary or other Committee member shall report to the next trustees meeting of any written complaint(s) handled directly with the complainant.
  4. Where a complaint cannot be settle directly, within seven working days of receipt of a complaint, a date shall be set for a trustees meeting and the complainant advised in writing of this date.
  5. The Complainant shall be invited to attend the meeting.

At the Meeting

  1. The Chairman of the Meeting shall introduce everyone.
  2. The Chairman of the Meeting shall explain the procedure.
  3. The Complainant shall outline the grounds for the complainant.
  4. The members of the Committee may ask any question of the Complainant.
  5. The Secretary for the complaints relating to any of the Associated D&L Teams, or other trustee for other matters, shall explain the organisation’s position.
  6. The Secretary, or other committee member, and the complainant shall be offered the opportunity of the last/closing word (in this order).
  7. The Secretary, or other committee member, and the complainant shall be asked to leave the room while the committee decides whether or not the grounds for the complaint have been made (If a point of clarification is necessary both parties shall be invited back).

After the Meeting

  1. The decision shall be confirmed in writing within seven working days, together with details of any action to be taken.

 

Unreasonable & Vexatious complaints

There will be circumstances when a complainant persists in wishing to pursue a complaint when it clearly has no reasonable basis, or when the trustee have already take reasonable action in response, or where some other process – whether through the courts or some other recognised procedure – should or has been taken.

These matters will be referred to the trustee by Secretary or another committee member with a summary of the issues and of the attempts made to resolve the complaint. They may, in such circumstances, decide that no further action can usefully be taken I n response to the complainant. They may inform the complainant of this, making it clear that only new and substantive issues will merit a response.

Anonymous Complaints

Anonymous complaints will be disregarded.
